Football Pitches Booking Form and Conditions of Use

Conditions of Letting

  1. The allocation of football pitches and the administration attached to lettings will be administered by the Grounds Sub-Committee of the Evesham Sunday Football League in conjunction with Wychavon District Council.
  2. Their decision on allocations shall be final, and where clubs have shared use of a pitch then priority to use that pitch on any given date shall be the sole discretion of the Committee.
  3. You MUST regularly forward a list of ALL your Home fixtures (i.e. League, Cup and Friendly matches) to the Hon. Secretary, Evesham Sunday Football League - the final list to be received no later than the 14th May.
  4. Payments for lettings must be made to the Hon. Secretary, Evesham Sunday Football          League as below:-
    i) First payment of £168.00                         -        PAYABLE BY 1ST DECEMBER each year
    ii) Davies Road - first payment of £588    -        PAYABLE BY 1ST DECEMBER each year
    III) Any outstanding payments                    -        PAYABLE BY 31ST MAY each year
    Any Club in default of payments will be suspended from using the facilities allocated until all outstanding payments have been received and acknowledged.

    The Evesham Sunday Football League will be responsible for forwarding such payments to Wychavon District Council as per agreement.
  5. The use of facilities to be allowed between 1st September and 1st May (both dates inclusive). Any club seeking to use the facilities outside of these dates must apply for special permission
  6. Pitch marking and erection of goalposts should be carried out in conjunction with any other team allocated use of the same pitch.
  7. All goalpoats to be erected and removed in accordance with the period contained in Condition 4 above or, date to be agreed with the Evesham Sunday Football League and Wychavon District Council. All goalposts should be removed immediately (within 2 days) following the last game of the season otherwise the Council will undertake the removal, in default and impose a charge for removal and storage to cover its costs. Clubs may also be suspended from using the facilities the following season.
  8. Teams are to be responsible for providing and placing properly made covers/infills for each of the post holes on every occasion that the posts are removed including over the summer period.
  9. Fleet linemarking or marking of a similiar texture must be used. The marking must be to British Specifications, i.e. safe and non-hazardous
  10. No line marking paint is to be deposited in the drainage system or on the Meadows, Playing Field or on surrounding land. Offenders WILL have their facilities withdrawn.
  11. Grass cutting is the responsibility of Wychavon District Council through its contractors. If, however, any extra cuts are required by the clubs they must undertake this work and/or pay for it themselves. Wychavon District Council must give permission prior to any extra cuts being made.
  12. Car parking on Crown Meadow and Viaduct Meadow is Pay and Display without exemption, apart from special events. As such, all vehicles parking in these areas must have a parking ticket.
  13. Each individual Club must obtain public liability insurance with a minimum of £1million pounds cover. Evidense of such insurance must be sent to Wychavon District Council before the start of the season.

Conditions of Use    

Davies Road Changing Rooms

  • All changing rooms must be swept after use and the rubbish placed in the bins provided.
  • Football boots must NOT be worn in the building. Boots should be cleaned outside on the boot irons provided.
  • Individual changing rooms must be locked during games.  All belongings are left at owner’s risk!
  • When leaving the building ensure all lights are switched off, all doors are locked, gate locked and keys are returned to the Leisure Centre.

The person returning the key must sign its return and this will be confirmation the padlocks are in place.  If padlocks are not in place when inspected, the last team signing return WILL incur full cost for replacement.

  • All goal posts must be stored correctly on the brackets provided, and locks fastened.

OUTSIDE STORE to be kept clean and tidy.

  • Corner flags to be placed in the store on brackets provided.
  • Nets must be stored in bags and placed in the store.
  • Goal net pegs kept tidy in bags or in containers and placed in the store on the shelf provided.
  • Line markers must be cleaned after use, and the waste material deposited in the bins provided.

NO line marking paint is to be deposited in the drainage system, outside the store, on the playing field or surrounding land.

Failure to carry out the above will result in these facilities being withdrawn.
